About Everybody Health & Leisure

Everybody Health & Leisure is a registered charity based in Cheshire East, dedicated to helping people live well and for longer. The charity improves people’s lives through physical activity, health programmes, and healthy aging.

The organisation operates 18 sites across the region, including leisure facilities like Holmes Chapel Community Centre, Crewe Lifestyle Centre and Alderley Park, supporting local communities to be more active, healthier and happier.

What drives Everybody

Everybody’s purpose is simple: Helping you live well – and for longer.

That purpose is reflected in the passion, care and dedication of the team, particularly within aquatics. Across leisure centre swim school programmes, the team supports over 10,500 swimmers, helping children and families build confidence in the water and learn a vital life skill.

As a charitable trust, all surplus is reinvested back into staff, facilities and communities, ensuring long-term social impact rather than short-term gain.

The Challenge

Before moving to CoursePro, Everybody was using a software system that had become increasingly admin-heavy and difficult to adapt as the organisation evolved. While the system supported core activity, it became harder to keep pace with changing needs. Opportunities to improve workflows were identified, but development and enhancement were limited, making it difficult to respond quickly as demand grew.

Over time, this led to:

Manual waiting list management
Staff-led processes to move swimmers into suitable classes
Increasing admin workload year on year
Performance frustrations as the system slowed
Aquatics being tightly linked to wider leisure systems, reducing clarity and flexibility

As a result, teams were spending too much time managing processes and not enough time supporting swimmers poolside.

CoursePro was introduced to support Everybody’s core swim school programmes, managing enrolment, waiting lists, swimmer progression and payments in one place.

Implementation approach

Moving a large estate onto a new system was a significant undertaking.

With over 10,000 active swimmers to migrate, the team invested heavily during the early stages to ensure assessments were transferred accurately, swimmers were placed into the right classes, and families were supported through the change.

Rather than switching all sites at once, Everybody rolled CoursePro out in stages across several months, allowing learning from early sites to be shared across the organisation. While the first few weeks required long hours and hands-on support, this phased approach protected the customer experience and reduced risk.

Impact: less admin, more teaching

One of the most significant changes has been how staff time is now used.

Admin time has reduced by around 50%, even accounting for additional checks and balances introduced with the new system.

This has enabled teams to:

Focus on teaching rather than administration

Waiting list management now runs largely in the background, requiring oversight rather than constant manual input. Roles haven’t been removed — instead, focus has shifted back to delivery and quality.

Online joining and crash courses

While overall swimmer numbers have remained relatively steady, how people join has changed significantly.

Families now join and book lessons outside traditional opening hours, reflecting real-world behaviour and reducing reliance on staff availability.

Crash courses have seen a particularly strong impact. Previously managed through emails and phone calls, they are now clearly visible and bookable online — leading to faster uptake, fuller classes and improved income, with far less administration.

Scale across the estate

Everybody Health & Leisure delivers swimming lessons at significant scale across its estate.

Waiting lists reduced from around 4,000 to approximately 1,000, reflecting faster and more

This scale is delivered without losing the community feel that sits at the heart of Everybody’s approach.

School Swimming: Introducing the School Swim module (from September 2025)

Alongside swim school programmes, Everybody delivers swimming to 92 partner schools, supporting thousands more children through curriculum swimming.

In September 2025, Everybody began using CoursePro’s new School Swim module to manage school swimming.

Previously, school swimming relied on a separate, more cumbersome software system that wasn’t consistently used across all sites. Engagement varied, reporting was fragmented, and administration was time-intensive.

Since introducing the School Swim module:

Data ownership remains with schools, addressing GDPR concerns
Children who need extra support can be identified more easily

What Jodie says to schools concerned about data sharing: time supporting swimmers poolside.

“We understand why schools are cautious about data – and that’s exactly how it should be. With the School Swim module, schools retain ownership of their data. We don’t see children’s personal details. We only see curriculum progress – whether a child has met the required competency or not. Schools have access to their part of the system, and we have access to ours. That separation is really important. What it does allow us to do is support schools better – for example, identifying children who may benefit from extra lessons and helping them catch up in a safe, structured way.”

This has strengthened relationships with schools and added value to an already strong school swimming offer.

What the team is most proud of

Beyond systems and processes, the team takes pride in the community feel of their facilities — friendly, welcoming environments focused on service rather than transactions.

Across swim schools and school partnerships, Everybody is helping thousands of children learn a life skill at a time when many are leaving primary school unable to swim.
